Export Import Business Correspondences

A. Requirements of Message

Communicating your message through email needs some of these requirements:

  1. Clearness: your message should be clear in meaning.
  2. Accuracy: ensuring the accuracy of data and information, such like: the quantity, time etc.
  3. Grammaticality: grammatical correctness is needed to compose the correct message in a language.

B. Layout and Design

On email marketing Layout and design has specific characteristic, it doesn’t same with conventional letters.

  1. Greeting: use formal sentence for greeting such as Dear Sir,
  2. Opening sentence: use the simple wise opening sentence (formal) ex. We are glad to inform you about my industry of……
  3. Body sentence: use this part for specifying your products. Ex. Allow me to introduce our brand new …..
  4. Closing sentence: in this part, make a formal closing letter such as: please don’t hesitate to contact me..

In some countries that needs stock of wood for being processed to be an exclusive furniture, they really need the supplier to fully supply the stock of material. Old Beams Teak is an example. With the general purpose, this material has a high value and priority for supplier. When someone decides to supply this material they have to consider some aspects: 1.) Stock, 2.) Location, 3.) Relation, 4.) Price and 5.) Production, 6.) Time, 7.) Packing, 8.) Loading and 9.) Shipping.

Having many relations can ease you to have more contacts when you are in a problem. Create some relation to others based on their interest and make some benefit of their interest. These people can help you in your difficult situation. So keep these people and make them in comfort atmosphere.

Determining the price is a difficult one. Why because you have to know the market price within your production. The importer also determines from the market price therefore the lower price of the market can make some attentions for prospective importer or buyer. But you have to consider the cost of production, packing and shipping because this is the basic of manufacturing.

  1. Production

Old Beams Supplier need to have workshop in processing this material. You need to have some artisans for this. If their salaries are okay, your productions are perfect. So make their needs to be fulfilled but in rationale terms. Also keep them in comfortable relation.

Time allocation is the important one for both buyer and seller. The production of custom products need more time rather than finishing products. You have to say the clear information about this time of production in order to make everything in schedule.

Before packing you have to know the shipping terms. Whether Over-Land, Over-Sea or Over-Air. Each of these terms has different ways in packing. The basic of packing is how to keep your products are in safely condition to the destination port.

After processing the material, we have to prepare in loading to ship. Usually government surveyor supervises the document, products, and license. Another important one is a packing case to pack them in container. Beam is heavy weight products, so the pallets must be in good quality and durable time.

SHIPPING AND DELIVERY

Tips for Shipping (Delivery)

Dealing with business is closely related to how to ship this products safely to buyer. There are many alternative:

  1. Over-Sea
  2. Over-Air
  3. and Over-Land.

Over-Sea

Sending your products by over-sea cargo needs long time to arrive. Moreover, when you ship over countries. There are two ways in shipping by sea. a.) LCL (Less Container Load) allows your good to be placed with other products in a cargo separated with pallets. It is cheaper than using FCL. b.) FCL (Full Container Load) allows you to place your good in a container without any other products inside. This second choice is more secure and reliable for your products. On the other hand, it costs more expensive rather than LCL. All of these depend on the situation.

Over-Air

Sending your products by air is another alternative to have a short time to deliver. As a consequently it costs rather expensive and having tight custom. I would prefer EMS post delivery to send the products by registering first. Usually the good is measured based on volume. So it is important to us to pack them as minimize as possible without damaging it.




Over-Land

Over-Land alternative is effective for local delivery because the limitation of transportation they use. It is good for local shipping. Usually Over-Land shipping is in a packet with Over-Sea or Over-Air service when it reaches on the port.

Based on those shipping alternatives, we have to determine the time of delivery, cost or even security.

Beware for Suspicious Buyer (Scammer)

Sometimes I found business strangeness and stuck on the problem. The problem here is not a big problem but it took me on the restlessness. My buyer asked me about everything but it beyond in context. This is the indication that you must beware for everything and don’t stuck on the problem.

The indications of suspicious buyer for potentially scammer are:

  1. Usually they follow your command without any consideration for basic elements in transaction such as: price, quantity, shipping, certificate etc.
  2. Usually they get involved in their own problem and apply it in the business.
  3. Usually they make an impression in family atmosphere.
  4. Usually they postpone the payment until uncertain time.
  5. They will ask for a certificate that you must pay for it, if not they will pay you nothing.
  6. They look for any reasons in order to escape the problem.

From the six indications above, I hope that the potentially scammer can be minimized.

Email Marketing Tips and Tricks

Email Marketing (How to search targeted buyer on Internet)

With this blog, I will share my experience bout doing business transactions (How to search targeted buyer) on internet. Before millennium era 2000, the prospected buyer is more than in the years after that. When I posted email to buyer, they respond quickly at least needs 2 or 3 days. But now it’s hard to seek prospected buyer. I have to wait a week or even no more. Why?? Because at this time there are many competitors and portals on internet such: alibaba.com, e-bay, indonetworks.com etc.

So, is this the death of email marketing?? I said YES but also NO

Why??

YES if we can’t make a new strategist and follow the stream. But we can make a brilliant idea on how to search targeted buyer, so SAY NO for the death of email marketing.

How??

Here… the SECRET OF EMAIL MARKETING (my version). Attention!!!! Zero Scammer Tolerance. Not for Scamming.

# Step 1.) Determining Products. What exactly products you will sell.., How it can be different with others…, What the Benefit for buyer…, How about the Price and Shipping… Those four elements is the basic of email marketing. You have to “hypnotize” the buyer and make sure they feel comfort with you.

#Step 2.) Searching Products. Just Googling or look around the websites that contains products you will sell. Keep the information about Price, Picture, Location and other important info.

#Step 3.) Surveying. Open google, yahoo, or another search engine to start collecting prospective buyer. Make sure you use the correct phrase or word. Ex. Type “furniture” and insert specific data “bamboo” if necessary add some keyword of location “Indonesia” or “French” for example. The more specific you type the more accurate the result.

#Step 4.) Focusing your search. Just focus on the phrase or word you type.

#Step 5.) Identifying. After getting the result, you have to identify what search engine display the phrase.


But how to identify??

Prospective buyer usually can be seen from their website. Check out their site, look around the display, contact information, products or even certificate.

#Step 6.) Oops… don’t you have an email? You have to make at least 1 email. Please SIGN UP email. Choose what you like. GMail, YahooMail, PlasaMail, etc.
#Step 7.) Make a correspondence letter. Write out what you will sell on this email.









#Step 8.)
Copy and Paste. Back to the step 5 in Identifying, copy the contact information that contains their email. And then paste to your email.
#Step 9.)
Interesting Headline and Topic. Specify the topic of your letter.

The nine steps above is the basic of email marketing and it is possible if you want to add some. I hope this information can help seller for promoting their products. And the important one is Consistency of your efforts for getting success…..
